Conditions of Hire
1. The hire of the Rotoiti Lodge to any group will be made at the sole discretion of the Rotoiti Lodge Outdoor Education Trust.
2. Your initial provisional booking will be confirmed upon the Trust’s receipt of your deposit. If the deposit is not received within one month from the date your provisional booking was made, your booking will be cancelled.
3. In the event that you cancel your booking your deposit will be refunded if more than eight weeks notice is given before your booking, if between six to four weeks notice is given your deposit will not be refunded, cancellations at four weeks or less will not be accepted
4. The balance of the hire charge will be invoiced to you within 30 days of departure from the Lodge. The full and final payment for your stay should be made by you within 14 days of receiving the Trust’s invoice.
5. The hirer is responsible for any damage or loss from the Rotoiti Lodge from the time of arrival to the time the last person departs from the Lodge. This includes any damages to chattels, fixtures, fittings and the surrounds of the Lodge. The cost of repairs will be included in the invoice sent to you for your stay.
6. Cleaning - Hirers are responsible for leaving the Lodge in the same condition as when they arrived. Guidelines for your clean up are posted in the cleaning room at the Lodge. A charge of $30.00 per hour will apply to those groups who do not clean up before they depart.
7. Fire Safety - Upon arrival at the Lodge, users must read and understand the Fire Safety Regulations and procedures that are posted on the main hall notice board.
8. Rubbish Disposal - The hirer is responsible for ensuring that all rubbish and recyclables generated by their group is either removed from the premises upon departure or sorted and stored in the rubbish shed behind the kitchen for uplifting. Rubbish bag collection costs will be charged to your group at the rate of $3.50 per rubbish bag.
